Item 1

Review current bank balance for estate sinking fund, and discuss whether to retain or increase the annual contributions, currently set at a conservative £200 per year.

AGM Note: Committee will circulate a separate voting form with options. The one with the most votes is where we will go

Item 2

Discuss requirement for new Treasurer, as current is to stand down ( our sincere thanks to the outgoing Treasurer for all they have done over the last 4 years) 

Existing Secretary (Iain, No.24) and Chair (David, No.11) are willing to continue, though requires approval from the majority

AGM Note: Voted for Secretary and Chair to continue, David F from number 21 to consider taking the role of Treasurer - update to follow. Also worth mentioning that HSBC have just sent out another Know Your Client update request

Item 3

Reminder to not park vehicles on shared land or the estates through roads (also shared land) Also that the visitor spaces should not be used for Residents parking.

AGM Note: This continues, and as was discussed we have House 9 currently paying for a Private marked space, and we shouldn't have frequent by the same houses. We have 5 visitor spaces for the 34 houses on the estate. A Private space is available, at the very reasonable rate of £100 per month. Please contact the Committee to discuss

Item 4

Storm - maintenance costs for estate road and drain clearing of excess sand and debris

AGM Note: Invoices have been submitted for the additional work to clear the sand and clear the drains over 2 separate invoices, total cost approximately £500

Item 5

Storm - Request from Avalon to contribute 50% of costs of replacing fence separating their car park from parking spaces adjacent (houses 5 to 10) Request is for £1800.00

AGM Note: Have advised Avalon's Property Maintenance Agent (Clyde-Smith) that we don't believe the fence to be partly owned by us. If they can provide evidence to counter that, we will of course review

Item 6

Storm - Recovery of debris collection costs to Clos De L'Abri from La Benefice (Maillard & Co) Approx £350 - Residents Association sorted due to failure of Maillard's to sort

AGM Note: Finally sorted with Maillard's, reimbursement of £320 as per invoice provided imminent

Item 7

Gutter clearing etc - This needs to be directly managed by each property themselves

Item 8

Increase in garden and estate maintenance costs. We are fortunate to have retained the contractor who is now down to only 2 staff, others choosing to leave the island. Request is to increase monthly to £300 per month.

Item 9

There has been a claim on a parcel of land which has always been considered shared land, with documentation provided directly from the house owners rather than from a conveyancer. Need to keep this high level at this point, though committee will seek opinion and direction on appointing a conveyancer to handle on behalf of the residents.

AGN Note. Agreed to initiate contact with Conveyancing team - updates to follow

Item 10

Just today, Sunday 28th January, attention do displaced curb stones, understood to have been caused by a heavy goods vehicle during the week. Need to have them restored and tarmac repaired

AGM Note: Iain is obtaining quotes to sort the displace curb stones

Item 11

Concrete cover that sits on top of large drainage pipes on area to the side of House 5, is breaking up. Will need to be repaired before any risk to the cover becomes apparent

AGM Note: Iain is also sorting quotes to sort the concreted drain cover areas, as both are in need of repair.
